Policy Bot - AI Policy Management Software

Finding accurate answers to company policy questions is harder than it should be. Whether it’s tracking down your company’s parental leave policy or confirming the rules for expense reimbursement, employees often end up digging through shared drives, pinging HR for help, or (even worse) not asking at all.

That’s not just frustrating for employees—it’s costly for HR, Legal, and Compliance teams too. These teams spend hours fielding repetitive questions about benefits, conduct, and internal tools. Worse, when policy information is buried or hard to find, employees may act on incorrect assumptions—not out of negligence, but because the right answer wasn’t accessible. That leads to time-consuming clean-up work and unnecessary compliance risk.

We built Policy Bot, Ethena's new policy management software, to make accurate answers easy to find—helping employees feel confident in their decisions while giving busy teams time back.

How it Works

Policy Bot is an AI-powered policy management software that allows employees to ask questions about company policies and get quick, relevant answers. It works by referencing policy documents, like your handbook or code of conduct, that you upload directly into Ethena. Employees can access it through their learning center (so that it appears directly alongside their training and hotline) or via a direct link, and start asking questions right away. It answers questions exclusively based on context in uploaded policy documents.

There’s no limit to how many documents you can upload, and teams can choose to toggle the feature on or off at any time.

Solving Problems for HR and Compliance Leaders

This feature addresses a common challenge we hear from HR and compliance teams: employees often don’t know where to look for policies, or don’t feel confident they’ve found the right answer. Our new policy management bot makes it easy for you to:

  • Reinforce HR policies
  • Answer common questions about benefits
  • Enforce your company code of conduct
  • Reduce risk of misinterpretation, through clear explanations and links to relevant policies

Employees can ask questions like:
💸 “What’s the reimbursement limit for professional development?”
🛫 “Can I roll over unused vacation time?”
❤️ “What’s our company policy on workplace relationships?”
🎁 “Can I accept a gift from a vendor?”
🧾 “What’s the reporting procedure for harassment or discrimination?”
🖥️ “Can I use my personal laptop for work?”

Policy Bot responds instantly—referencing your uploaded policy files to deliver clear, on-policy answers, right when your team needs them.

Available Now

Policy Bot is now available to all Ethena customers. Try it out for yourself, and ask questions based on Ethena’s Code of Conduct. If you’d like help setting it up or want to see a demo, get in touch.
